Code Automation
How Guest Codes Are Generated
Where a guest's door code comes from, how digit length works, and what happens on a collision.
When Codes Start and Stop Working
The default activation window for guest codes, why it's asymmetric, and how to change it.
Cleaner Access
How global cleaner codes work: tenant-wide, always active, one PIN per cleaner.
One-Time Keys for Vendors and Deliveries
Give a vendor, delivery, or inspector temporary access for a single scheduled window.
Emergency Backup Codes
An opt-in safety net that emails a guest a backup code if their lock or their code looks wrong before check-in.
When a Booking Changes or Is Cancelled
You don't need to do anything — the guest's door code follows the booking automatically.
Troubleshooting
A Guest Code Didn't Make It Onto the Lock
What to do when a code shows as failed, how to reapply it yourself, and when it fixes itself.
A Lock Is Offline
What offline means, why the alert arrives an hour late on purpose, and what actually brings a lock back.
Codes Are Stuck Updating
The lock says it's online but a code has been mid-update for a long time — what that means and what not to do.
A Lock Has Low Battery
When you get told, why the number on the dashboard and the alert can disagree, and why this one matters more than it looks.
An Integration Needs Reconnecting
What breaks when a connection lapses, what keeps working, and exactly where the reconnect button is.
A Guest Says Their Code Doesn't Work
The fastest path when someone is standing at the door right now, and how to work out what actually went wrong afterwards.
Billing & Plans
How Pricing Works
You're billed per connected device, not per property — graduated lock tiers by provider, flat thermostat rates, and the static door code fee.
Your Free Trial and What Happens After
14 days, card required upfront, billing starts automatically at day 15 unless you cancel — plus the 7-day grace period for a failed payment.
Adding and Removing Devices
Device changes are prorated immediately after your trial — but adding devices during the trial doesn't trigger a charge.
Managing Your Subscription
Where Billing lives in the dashboard, how cancel and reactivate work, and which roles can manage it.
Guest & Cleaner Portals
The Cleaner Portal
Give your cleaning team a phone-friendly page to see which properties need cleaning and mark them done — and understand the door access that comes with it.
The Guest Portal
A single link that gives your guest their door code, WiFi, check-in instructions, and house rules — and how that link actually reaches them.
Static Door Codes for Properties Without a Connected Lock
Run the guest portal on a property whose lock isn't connected — what GuestsKey does, what you have to do yourself, and what it costs.
Security
How Your Data Is Protected
What GuestsKey stores, what's encrypted at rest, and how your account is kept separate from every other account.
Team Roles and Account Access
What owners, admins, and viewers can each do, and how sign-in sessions work.
How We Verify Data From Your Integrations
Your booking system and locks push updates to GuestsKey continuously — here's how those messages are authenticated.

Frequently Asked
Questions
How are guest codes generated?
By default, guest codes are generated using the last 4 digits of the guest's phone number. You can configure this in property settings to use random codes or more/fewer digits.
When are codes activated?
By default, a code starts working 10 minutes before check-in and stops working at checkout time. You can change both windows per property — for example, giving guests a grace period after checkout, or a longer head start before arrival. All times are in the property's local timezone.
What happens if a guest's phone number changes?
If the guest's phone number changes in your booking system, the code will be automatically updated on the next booking sync (typically within minutes).
Can I have multiple locks per property?
Yes. You can map multiple locks to a single property — front door, side gate, garage — and guest codes are applied to every mapped lock automatically, so guests use one code everywhere.
How do cleaner codes work?
Add your cleaning team in the Cleaners section of the dashboard. Each cleaner gets their own PIN that works on every lock across all of your properties and stays active, so they can get in whenever a job comes up without you scheduling anything. Updating or removing a cleaner pushes the change to every lock automatically.
What are one-time keys?
One-time keys are temporary access codes for vendors, deliveries, or inspections. Create them from the property view with a custom time window, and they'll automatically expire.
How do I invite team members?
Go to Settings → Team, click "Invite Member", enter their email, and select a role (Owner, Admin, or Viewer). They'll receive an email invitation to create their account.
What's included in the free trial?
The 14-day free trial includes full access to all features with no property limit. A credit card is required upfront; cancel before the trial ends to avoid charges.
