Team Roles and Account Access

Everyone you invite to your GuestsKey account gets one of three roles.

The three roles

Owner — full control, including billing and team management.

Admin — everything operational: properties, locks, automation settings, bookings, cleaners, and billing. Owners outrank admins, so anything an admin can do, an owner can too.

Viewer — read-only. A viewer can see properties, bookings, and status, but can’t change automation, manage locks, or touch billing.

Pick viewer for anyone who needs visibility without the ability to change how doors behave — a co-host who fields guest questions, or a VA monitoring arrivals.

Sessions

Signing in issues a short-lived access token that’s refreshed automatically in the background, backed by a longer-lived refresh token that can be revoked. In normal use you stay signed in; if a session is revoked, access stops at the next refresh rather than continuing until some far-off expiry.

Cleaners are not team members

Cleaners are a separate concept and don’t have GuestsKey accounts. They get a personal link to the cleaner portal, and that link is the only credential — there’s no password and no sign-in.

Worth understanding before you add one: a cleaner record also carries a door PIN that works on every lock across all your properties, continuously. Portal access and door access come together. That matters when someone leaves your team — see the cleaner portal article.

Removing access

Removing a team member ends their access to your account. Removing a cleaner is the action that matters for doors — revoking only their portal link leaves their PIN working.

If you’re offboarding someone who had a cleaner record, deactivate or delete the cleaner rather than just revoking the link.
