When a Booking Changes or Is Cancelled

You don’t need to do anything when a booking’s dates change or it’s cancelled. GuestsKey picks up the change from your booking system and updates the guest’s door code to match.

Dates or property changed

When a booking’s check-in date, check-out date, or assigned property changes, GuestsKey cancels the guest code that was scheduled under the old dates and re-checks whether the booking is still eligible for automation. From there, one of two things happens:

  • If the booking is still eligible, a new code is scheduled to match the updated check-in and check-out times.
  • If the booking is no longer eligible, the code is revoked and withheld rather than left active on the old schedule.

Either way, this happens automatically as soon as the change syncs in — there’s no manual step for you to trigger.

Booking cancelled

When a booking is cancelled, it’s marked as cancelled in GuestsKey and the code that was scheduled for it is cancelled along with it. The guest won’t have a working code for a cancelled stay.

What this means for you

You manage bookings in your PMS the way you always have — moving dates, changing the property, or cancelling a reservation. GuestsKey follows along and keeps the guest’s access in sync, so you’re not manually deleting or rescheduling codes when plans change.
